Where to check receipts and outcomes

Receipts relating to invoices issued, transmitted or received can be consulted on the Revenue Agency's Invoices and Receipts portal, in the monitoring section. By setting a date range of no more than 7 days, you obtain the list of discard, delivery or non-delivery receipts for documents that passed through the Exchange System during that period.

02

The reference rules

The rules for preparing, transmitting, receiving and storing electronic invoices between private parties are set out in Revenue Agency measure no. 433608 of 24 November 2022, as subsequently amended. For invoices to Public Administrations, the rules of Ministerial Decree no. 55/2013, published on the fatturapa.gov.it website, remain valid instead. The Agency provides free services to prepare, transmit, receive and store invoices in a compliant, secure and unalterable way.

03

Periodic monitoring sequence

Steps

  1. Log in to the Invoices and Receipts portal with your credentials.
  2. Open 'Your issued invoices' to see the list for the last quarter or the selected period.
  3. Check the markers: green symbol for delivered invoices, red symbol for non-delivered ones.
  4. Use 'Monitoring of receipts for transmitted files' for details on discard, delivery or non-delivery.
  5. Refine the search with the customer's/supplier's VAT number or SdI identifier when you need to trace a specific document.

04

A recurring case (hypothetical example)

A company checks the list of issued invoices and notices a document marked with the red alert symbol: this means that, due to a problem with the customer's receiving channel, the invoice was not delivered but only made available on the portal, with a corresponding non-delivery receipt. The clerk opens the receipt monitoring, downloads the detail file and notifies the customer that the document is available for viewing.

05

Decision checklist

  • Check discard, delivery and non-delivery receipts weekly, within the maximum 7-day consultable range.
  • Check the green and red markers on the list of issued invoices before closing the period.
  • Use advanced search by VAT number or SdI identifier to trace specific documents.
  • Download and keep a copy of the receipt when needed as proof of delivery or availability.
  • For invoices to Public Administrations, keep checks separate according to the rules of Ministerial Decree 55/2013.

06

How to organize monitoring with management software

A company can ask its software provider to keep track, for each issued invoice, of the outcome received from the Exchange System, who verified it, and when any non-delivery case was taken into charge. It is a useful operational choice to assign a role responsible for periodic receipt monitoring and to define a review schedule, so as not to exceed the useful window for direct consultation on the Agency's portal.

07

Frequently asked questions about monitoring

The answers summarize what was already indicated in the previous sections about receipts and outcomes of the Exchange System.

08

Next step

Plan a fixed weekly check of receipts on the Invoices and Receipts portal, using advanced search for documents marked as not delivered, and establish who in the company should handle them.
