Nebulas ERP now gives sales operations teams a configurable way to handle a common source of friction: what happens when an agent tries to create a document for a customer who already belongs to someone else. Instead of silently reassigning ownership or leaving the decision to chance, the system shows a clear 'Representative conflict' dialog and lets administrators choose the default behaviour — assign the customer to the agent creating the document, keep them with their current representative, ask every time, or block the document outright. Available in English, Spanish, French, and Italian, this gives multi-agent teams a consistent, predictable way to protect customer ownership and avoid disputes over who gets credit for a sale.

Representative Conflict Dialog for Document Creation

Until now, if an agent created a document for a customer already assigned to a colleague, the change could happen without anyone noticing straight away. Nebulas ERP now detects this situation the moment it happens and shows a 'Representative conflict' dialog that explains who the customer currently belongs to and what the agent is about to do. Administrators decide in advance how the system should respond, so every agent sees consistent, predictable behaviour instead of guessing.

  • A 'Representative conflict' dialog appears automatically the moment an agent selects a customer already assigned to a different agent, before any document is created.
  • Administrators can set one company-wide default: assign the customer to the agent creating the document, keep the customer with their existing representative, ask every time a conflict occurs, or block the document from being created.
  • The dialog text and resolution options are available in English, Spanish, French, and Italian, so international sales teams get the same clear guidance regardless of language.

What changes for you

As a sales operations administrator, you no longer need to rely on informal rules or manual checks to protect customer ownership. You choose one policy that fits how your team works — whether that's giving priority to the agent who's actively working the account, protecting the original representative's relationship, or simply pausing to ask each time something looks off.

As an agent, if you try to create a document for a customer who's linked to a colleague, you'll see the conflict clearly explained instead of finding out later that something changed. You can then follow your organisation's agreed policy — take ownership if that's appropriate, or leave the customer with their current representative — without any ambiguity.

Why it matters

Customer ownership disputes cost time and trust. When two agents can end up serving the same account without a clear rule, commissions, follow-ups, and relationships get tangled. A single configurable policy, enforced automatically at the moment of document creation, removes that uncertainty for good.

Because the feature works the same way in English, Spanish, French, and Italian, teams operating across several markets can rely on one consistent process rather than translating rules informally or hoping everyone remembers them.
